Share your horses with a barn manager
In Vivetra: Who can see your horses · Horses you manage
If someone looks after your horses day to day, such as a barn manager, trainer or yard staff, you can let them see what's due and what's booked from Who can see your horses. They get a read-only view, and you can take it back whenever you like.
What sharing gives them
The person you share with sees your horses on their Horses you manage page, grouped by yard, with Coggins and vaccination due dates, follow-ups, booked and past vet visits, and handling notes. They can't see your bills or pay anything, open the full medical record, or change or sign anything.
Share your horses
The person needs a portal sign-in with the practice already. If they don't have one, call the practice.
- Select Who can see your horses in the portal menu.
- Under Share with someone, enter Their sign-in email.
- Optionally, enter What they do (optional), such as Barn manager, so you remember who's who.
- Choose Which horses: All of my horses, only the horses at one barn, or one horse.
- Select Share these horses.

You'll see the same confirmation whether or not the address has a sign-in. If the person doesn't appear under People with access afterwards, call the practice to set them up.
Your practice decides whether owners can share from the portal. If it can't, Share with someone tells you to call the practice instead, and they'll add the person for you.
Stop sharing
- Under People with access, select Stop sharing next to the person.
It takes effect straight away, and you'll see Done — they can't see your horses any more. You can stop access the practice set up for you too. The list shows you shared this or set up at the practice for each person.
Horses you manage
If another owner has shared their horses with you, they're on Horses you manage.
- Select Horses you manage in the portal menu.
- If the horses are at more than one yard, select a yard's name in the row that starts with All barns to see only that yard.

Needs attention lists what's overdue first, then what's coming up soonest. Below it, each yard lists its horses with Coggins, Vaccinations, Follow-ups and Vet visits. A horse flagged Handle with care. has handling notes from the practice.
This page is view-only. There's no messaging in the portal, so for anything urgent call the practice.
