Boarding

Manage boarding owners and their pets

In Vivetra: Boarding › Owners

On this page

Owners under Boarding holds the people who board pets with you, called guest owners. Each owner's record has their contact details, their pets, their client portal access and anything of theirs you're still holding from a past stay.

Anyone can look owners up. Adding or changing an owner, or linking pets, needs reservation permission, which front desk and practice managers have.

Find an owner

The guest owner search and results
The guest owner search and results
  1. In the menu, open Boarding and select Owners.
  2. Type in Name or email contains. You can also search by Phone contains or Address contains.
  3. Select Search, then View on the owner you want.

The results show each owner's Caution flag, how many No-shows they have and whether they're Active or Inactive.

Add an owner

  1. Under Add a new guest owner, enter the First name.
  2. Enter the Last name. Email, phone, address and Preferred contact are optional but worth filling in.
  3. Select Create guest owner.

Preferred contact can be Email, SMS, Phone or None. If the owner is also a client somewhere else in your practice, enter their id in Linked core-person id; you can find it under People.

The caution flag

Tick Caution flag (difficult / non-paying / do-not-rebook) and add Caution notes to warn staff about an owner. Their record then shows a CAUTION FLAG banner with your notes.

The owner's record

The record shows their contact details, preferred contact and status. If they've failed to turn up for bookings, a NO-SHOWS ON RECORD banner shows how many times. The no-show count can't be edited here.

Items never returned lists belongings logged for this owner's pets, on any stay, that haven't been handed back. An item on a stay that's still going on correctly appears here too. To sort out a specific stay, open it from the Stay column (see Record belongings and incidents).

  1. Under Link an existing pet, choose the Pet. Species your facility boards are listed first under Recommended (species this facility boards).
  2. Select Link pet.

You can also enter a Relationship, such as co-owner or carer, and untick Primary contact for this pet. Linked pets appear under Linked pets, with a Chart button for each pet's record. Unlink removes the link after you confirm.

Give them client portal access

The Portal access section shows whether the owner has a portal account, when they last signed in and whether two-factor sign-in is on. Managing portal access needs portal-link permission.

  1. Select Invite to the portal. If they've already been invited, the button reads Send a new invitation.

This emails a one-time link to the owner's email address, valid for seven days, where they choose their own password. The link is also shown once on screen under Invitation link — shown once, so you can read it to them if the email doesn't arrive. Sending a new invitation cancels the old one. If an invitation can't be sent yet, the screen tells you why.

Once they have an account, you can also:

Button What it does
Revoke portal access Blocks sign-in and cancels any invitation or reset link already sent. Use it if their password may be compromised, then invite them again.
Restore portal access Lets a revoked owner sign in again with their old password.
Sign out everywhere Signs them out on every device. Their password stays the same.
Clear sign-in lockout Appears when they're locked out after failed sign-ins.

Edit contact details

Change the details under Edit contact details, including the caution flag and notes, then:

  1. Select Save changes.
